Job Title:  Administration Assistant - Maternity Cover
Location:  Baston House School, Bromley, Kent, BR2 7AB
Hours:      37.5 per hours week | Monday–Friday | 8.30am - 4.30pm. 
Salary:      £27,000 per annum (not pro rata)
Contract:  Fixed term till May 2027 | Term Time Only plus 2 weeks
Start:         April 2026

We’re looking for a highly motivated Administrator to join our dedicated Children’s Education Service. This is more than just an admin role—you’ll be at the heart of our centre, supporting young people, families, and staff to ensure everything runs smoothly, professionally, and compassionately.

What You’ll Be Doing

Core Administration

  • Deliver efficient, confidential, and high-quality admin support across the service
  • Maintain accurate records and ensure all documentation is secure and up to date
  • Support colleagues across teams and respond flexibly to urgent requests
  • Contribute to a safe, compliant, and well-organised working environment

Front of House & Reception

  • Be the first point of contact, welcoming visitors and handling calls professionally
  • Manage meeting rooms, diaries, and office facilities
  • Handle post, deliveries, and maintain a professional reception area
  • Oversee site access, including visitor ID checks and door systems

Referrals & Service Coordination

  • Coordinate referrals, assessments, admissions, and reviews
  • Liaise with families, carers, and external professionals
  • Maintain accurate records for young people and ensure compliance with regulations
  • Support inspections and regulatory reporting processes

Exams & Education Support

  • Take ownership of the exams process (GCSEs, BTECs, etc.)
  • Manage exam entries, timetables, and communications with exam boards
  • Ensure full compliance with exam regulations and procedures
  • Support staff and students through key academic milestones

HR & People Support

  • Assist with recruitment, onboarding, and staff records
  • Monitor attendance, training, and HR data
  • Provide first-line guidance on policies and procedures
  • Support managers with HR processes and reporting

Facilities & Finance

  • Coordinate maintenance and manage equipment records
  • Support financial processes including petty cash, invoices, and budgets
  • Ensure compliance with company policies in all financial activities

We’re looking for someone who is:

  • GCSE Minimum Level 4 in English & Math's
  • Highly organised with excellent attention to detail
  • A confident communicator with a professional manner
  • Able to manage multiple priorities in a busy environment
  • Discreet and trustworthy with confidential information
  • Proactive, flexible, and solution-focused
  • Comfortable using IT systems and databases

Experience in education, care, or a regulated environment is a plus—but not essential.
